They require all correspondences to be sent via mail. They don’t accept email. I guess I could mail the design to myself and at the same time write at the bottom of the sample (…all rights reserved etc.)

I would suggest you specify that it is a copy of the original. Have it notorized by a notary, then mail it to yourself certified and never open it, unless necessary. You will have two official witnesses: the notary and the post marked date on the envelope. This will give you some protection until you get the design patent. Make sure you do this before mailing off your design to that company. Also mention that no part of the design is to be used without your permission. Keep a copy also of what you send them and have it witnessed.
